Private Room Information & Guidelines

Menu Selection

Menu items are subject to change based upon availability. In order to provide the best quality and service possible, it is recommended that the same entrée be selected for all guests. An optional choice of two entrées is available with a party count 72 hours in advance. Ten guests or fewer may order off the menu.

Guarantee

To ensure the finest quality of all foods and services, a guaranteed number in attendance is required by 3:00 pm two business days prior to the date of the event. Final billing will be based on the guarantee or the actual number of guests, whichever is greater. In the event that a guarantee is not received, final billing will be based on the initial estimate or the actual numbers of guests, whichever is greater. A 20% house charge is added to all food and beverage.

Alcoholic Beverages
Oregon Liquor Control Commission regulations require we provide a bartender to dispense all alcoholic beverages. The University Club’s license requires our staff to request proper identification (photo ID) for any person of questionable age and refuse alcoholic beverage service if the person is either underage or proper identification cannot be produced. Service will be refused to any person who, in the Club’s judgment, appears intoxicated. No alcoholic beverages will be permitted to be brought onto or removed from the premises by club members or their guests, unless previously arranged through the Special Event Coordinator. 

Meeting and Banquet Room

Private rooms may not be occupied longer than the stated hours on the Private Event Order without prior approval from the Special Event Coordinator. An additional charge may be applied for stays that extend beyond stated time. The University Club reserves the right to change private rooms according to meeting requirements and final guarantees.

Meeting Room Set-up Charges

A labor charge of $50.00 will be assessed if a last minute change is requested to a banquet room that differs from the set-up on the Private Event Order.

Sign Policy
Nothing shall be posted on, nailed, taped, screwed or otherwise attached to walls, floors, or other parts of the building or furniture. Costs to repair any damage to walls caused by disregard of this policy will be billed directly to the function sponsor.

Billing

Unless otherwise specified, a 50% non-refundable deposit is required for all events sponsored by a member. The remainder of the estimated charges are due 8 business days prior to the event.

Audio Visual Equipment
An extensive selection of audio visual equipment is available through the Special Event Office. Prices will be quoted upon request.

Coat Check Services
We are pleased to offer complimentary coat check services at the Reception Desk. Every effort is made to secure our coat check area, but the University Club can assume no liability for loss of personal property.
